Privacy Policy

Last updated: 2026-07-25

This Privacy Policy explains what information TrialStudio ("we") collects and how it is used when you purchase and use the TrialStudio desktop software and this website.

Information handled by our payment processor

Purchases are handled by our third-party merchant of record, which acts as the seller of record. They collect and process your payment details, billing information, and contact email to complete transactions, handle taxes, and issue receipts. We do not store your full payment card details.

Information handled by our licensing service

To validate your license, our third-party licensing service stores a license record associated with your email and license status (for example, active or expired). The desktop app contacts this service to confirm your entitlement.

Information the desktop app collects

The desktop app processes the case files, exhibits, and documents you open locally on your device. We do not upload your case content. The app may check for software updates and validate your license over the network.

Crash reports

If TrialStudio crashes, it can send us a diagnostic report. This is controlled by a setting with three choices — Never, Ask me each time, or Automatic — found in Settings → Privacy. The default is "Ask me each time," so a fresh installation will offer to send a report after a crash. Nothing is ever sent without your explicit consent for that specific crash.

A report contains error traces, a portion of the application log, and details about your system and app version. It never includes your case files or exhibits. Before anything is sent, we automatically remove text that could identify you or a matter, and we show you the exact contents so you can read them and decide. Reports are identified by a random installation identifier, not by your name or email; you may optionally add your email if you would like us to follow up. Crash reports are retained for 90 days.

Usage analytics

TrialStudio can send anonymous, aggregated counts of which features are used. This is off unless you turn it on. These aggregates contain no installation identifier and cannot be linked back to you or your cases.

Turning diagnostics off across an organization

Administrators can disable all diagnostics — both crash reports and usage analytics — for every installation they manage by setting the TS_DIAGNOSTICS_DISABLED environment variable. This overrides the per-user settings above.

Website

This website is static and does not set advertising cookies or run third-party analytics.

If you use our contact form, we collect the name, email address, and message you submit. We use them to respond to your enquiry and to keep a record of that contact, and we retain them for up to 24 months. Submissions are stored in Google Cloud (United States), and a notification containing your submission is delivered to our Slack workspace so that a person sees it; Slack's own retention settings govern that copy separately. We do not store your IP address with the submission. It is used momentarily, in memory only, to limit abuse of the form. Separately from that, our hosting provider records the IP address of every request to this site in its standard server logs and keeps it for a limited period (30 days by default) — that is ordinary web-server logging, not something we collect from the form.

Your choices

You may request access to or deletion of the personal data associated with your license, your purchase, or a contact form submission by contacting us. You can change or disable crash reporting and usage analytics at any time in Settings → Privacy.
